LEGAL & GOVERNANCE FRAMEWORK

Privacy, rules and confidentiality.

This framework governs access, candidacy, selection, participation and association in The Logistics Leaders Circle.

01 · IDENTIFICATION

Legal notice

The Logistics Leaders Circle is an initiative of The Leaders Circle. Its operations in Spain are managed by TUB Leaders Circle. Contact: info@theleaderscircle.club.

Site content, visual identity and materials belong to their owner or are used with permission. They may not be reproduced, distributed or exploited without prior authorisation. Published information is institutional in nature. A recommendation, candidacy, selection or association proposal does not itself create a right of admission, participation or Associate status. Spanish law applies and, where legally permitted, the courts of Valencia shall have jurisdiction.

02 · DATA PROTECTION

Privacy policy

Controller and contact

TUB Leaders Circle is the data controller. Privacy requests may be sent to info@theleaderscircle.club.

Data and purposes

We may process identification, professional, contact, career, influence, expectations, participation, referral, communication and attendance data to validate codes, manage candidacies, assess profiles, organise gatherings, administer relationships with attendees and Associates, maintain security and comply with legal obligations.

Legal basis

Candidacy processing is based on the candidate's request and pre-contractual steps relating to admission. Association administration is based on the contractual relationship. Security, quality and internal assessment may rely on legitimate interests. Specific consent will be requested where required.

Recommended profiles

Associates may provide only professional details of people who know and authorise the referral. If contact is considered appropriate, the recommended person will be informed in the first communication about the source and use of their data and their rights. A recommendation is never a selection, invitation or admission.

Retention and rights

Unsuccessful candidacies will be retained for no more than twelve months after the decision unless law requires otherwise or earlier erasure is requested. Where a person expressly confirms an interest in future gatherings, their professional profile may be retained for 24 months from the date of consent in the private register of profiles of interest. If they are not invited to a new process during that period, their profile will cease to form part of the active list of potential attendees. Consent may be withdrawn at any time through the personal link or by contacting the privacy email address. Withdrawal or expiry does not affect data that must be retained to evidence consent, comply with legal duties or defend claims for the applicable periods.

Attendee and Associate data will be retained for the relationship and applicable legal periods. You may request access, rectification, erasure, objection, restriction, portability or withdrawal of consent at the email above, and complain to the Spanish Data Protection Agency.

03 · GOVERNANCE

Rules of The Logistics Leaders Circle

Acceptance of a candidacy, invitation, participation or association proposal implies full adherence to these rules and a commitment to protect the trust, independence and confidentiality on which The Logistics Leaders Circle is built.

  • Candidacy, invitation, accreditation, participation and Associate status are personal and non-transferable. Identity may be verified before access is granted.
  • Selection is decided by the Admission Committee based on experience, judgement, influence, diversity and capacity to contribute.
  • Associate status is subject to an annual Associate fee, with terms communicated individually. Gatherings are not included and may require a separate gathering contribution.
  • While a permanent Associate ID remains active, association includes a personal invitation to upcoming gatherings. Each place is formalised by accepting the invitation within the stated period and completing any applicable gathering contribution. The organisation determines the composition of each Circle of Influence and the role of every attendee.
  • Attendees act in a personal capacity and must maintain professional, respectful and inclusive conduct. Harassment, discrimination, intimidation or conduct that undermines the integrity of the Circle will not be tolerated.
  • Relevant conflicts of interest must be disclosed. Information obtained through the Circle may not be used unlawfully, to breach professional duties or to obtain an improper advantage.
  • Direct commercial solicitation, unauthorised distribution of promotional material and mass prospecting among attendees and Associates are prohibited.
  • Attendee and Associate contact details and personal data may not be copied, transferred, added to commercial databases or used without consent.
  • Documents, methodologies and materials remain the property of their authors and may not be reproduced or distributed without authorisation.
  • Photography is permitted only at expressly authorised moments. Recording devices, transcripts and unauthorised images are prohibited.
  • Each Associate may propose no more than three profiles while their Associate status remains active.
  • Schedules, location, format, subject areas and table composition may be adjusted for operational, security or programme reasons.
  • Breaches may result in refusal of access, warning, suspension, withdrawal of invitations or loss of Associate status following proportionate committee review.

04 · TRUST

Confidentiality

The Leaders Circle gatherings are strictly confidential. We therefore recommend that attendees do not make their participation public. If they wish to communicate it, they may only state in general terms that they have been selected to participate in a gathering organised by The Leaders Circle. It is strictly prohibited to disclose its date, time, location, reserved agenda, assigned table or any other non-authorised operational detail.

It is strictly prohibited to reveal, directly or indirectly, the identity of other attendees or Circle Associates, or to confirm their participation, role, company or connection with the Circle, without the prior express authorisation of the person concerned and The Leaders Circle. This obligation applies before, during and after the gathering.

Conversations are held under the Chatham House Rule: attendees may use general knowledge gained, but may never attribute an idea or reveal information that could identify the person who expressed it. A breach of these obligations may result in immediate exclusion and permanent ineligibility for future gatherings or for acquiring or retaining Circle Associate status, without prejudice to any other applicable liability.

05 · ATTENDANCE & CONTINUITY

Confirmation, cancellation and association

Each invited leader has 11 calendar days to confirm attendance. Without confirmation, participation will be cancelled and the place may be reassigned. Any later inability to attend must be communicated as early as possible.

Failure to attend without notice may lead to a warning, temporary suspension of future invitations or, where applicable, a review of continued Associate status.

Fees, renewal and Direct Debit

All stated amounts include VAT. Association is annual and all memberships share a common renewal date: 11 September. Each annual term ends on 10 September of the following year. Renewal is managed by SEPA Direct Debit after prior notice of the amount and collection date. Bank details must not be sent by email and will only be collected through a secure mandate.

The annual Associate fee and contributions paid for gatherings, activities or reserved places are separate concepts and are non-refundable in the event of voluntary cancellation, withdrawal, non-attendance, suspension or loss of Associate status arising from a breach of these rules. Amounts may not be transferred to another person, activity or gathering. This provision applies without prejudice to rights that cannot legally be waived.

Cancellation and invoicing

Cancellation requires a personal written request to associates@theleaderscircle.club and is subject to Committee review. It does not extinguish accrued financial obligations or confidentiality duties. Invoice requests are handled through finance@theleaderscircle.club.

06 · EXECUTIVE PERSPECTIVES

Assessment, content and access

A preliminary request records only the professional data and summary needed for an initial Council assessment. A complete application is available solely through a personal, time-limited invitation and may include professional links, proposal content and links to a 9–11 minute demonstration video or supporting material. Providing a link does not authorise The Leaders Circle to publish or redistribute the linked content.

A selected Executive Perspective lasts between 9 and 11 minutes and is followed by three questions from the Circle. It must contribute genuine knowledge beyond corporate promotion and remains subject to the Council's editorial independence, content approval and right to request changes or withdraw the intervention if the approved framework is not respected.

Selection as an Executive Perspective does not grant access to private tables, attendee identities or contact details. Any participation in an influence circle requires a separate candidacy and selection under the same criteria as any other attendee.
